A new lead lands in HubSpot from a form or the inbox
- Check whether the company or contact already exists, and say so rather than merging
- Add what the enquiry itself gives you: company, role, where they came from
- Assign the owner by the rule you set
- Prepare the first reply for you to send
A meeting ends
A call or a meeting in the calendar finishes
- Write what was agreed into the deal within the hour
- Record the next step and its date, if one was named
- Flag the deal if no next step was named at all
Where the agent stops
- It records and prepares. What a deal is worth and when to close it is a judgement, and that stays yours.
- It doesn't email a client on its own: the draft waits for your approval, however obvious it looks.
- It doesn't invent a next step. If nothing was agreed, that's what it writes — nothing was agreed.
- It doesn't delete or merge records: a wrongly merged contact is close to impossible to unpick, so duplicates come to you as a list.
FAQ
Will it change our data in HubSpot?
It adds what you allow it to add: call notes, activity, the fields a record is missing. Deal stage and amount it leaves alone — those are your judgement. Deleting and merging records are out of its reach entirely.
Our CRM is already a mess, full of duplicates. Will it clean that up?
It will show it to you: it finds the companies and contacts that look like the same one and brings them as a list, with the reason it thinks so. The decision to merge is yours, because a record merged wrongly can't be pulled apart afterwards.
Do we have to rebuild our pipeline around the agent?
No. It works with your stages and your properties as they are. It needs one rule from you — after how many days in a stage a deal counts as stalled.
Do we need a HubSpot admin to set this up?
For access to the portal, yes — an admin grants it, and you decide how far that access goes. After that the setup is a conversation, with no tokens or scopes to wire up by hand.
