WhatsApp and AI agents
WhatsApp is where a small business actually receives its work: a client sends a photo of a receipt, asks to move an appointment, confirms a booking. The agent does the intake — recognising what arrived, filing it where it belongs, chasing what is missing — so nothing is lost in a thread of two hundred messages.
What an agent does in WhatsApp
- Recognises what came in: a photo of a receipt, a scanned invoice, a voice note, or just «can we move Thursday».
- Files the document where it belongs — the right client, the right period.
- Chases what is missing and follows up again when there's no answer.
- Handles reschedules: finds the booking, offers the nearest free slots, confirms the new time.
- Keeps the thread readable: what was promised, what arrived, what you're still waiting on.
Processes that run themselves
A playbook isn't a button — it's a process with a condition that starts it. These three are the ones people set up in WhatsApp.
A photo of a receipt lands in the chat
A client sends a photo of a receipt or a delivery note
- Read the amount, the date and the counterparty off the photo
- Work out which client and which period it belongs to
- File it in that client's folder and tick it off the list of expected documents
- If the photo is unreadable, ask for another rather than guess
A client asks to move an appointment
A client writes that they can't make the time you booked
- Find the booking and establish which appointment is meant
- Offer the two nearest free slots
- Hold the chosen time and show you the change
- Confirm to the client once you've said yes
A promised document never arrived
A document a client promised hasn't arrived by the deadline
- Check it didn't come by another route — email, or a different chat
- Write in the same thread, naming exactly what is missing
- Follow up one last time two days later, then hand it to you
Where the agent stops
- It writes only to people already in conversation with you, and sends nothing to a marketing list: WhatsApp is a personal channel and gets treated as one.
- Questions that need professional judgement — a diagnosis, a tax treatment, what a job should cost — come to you unanswered.
- A document it can't read is never guessed at: it asks for a clearer photo or sets the document aside with a specific question.
- Anything that commits money or your time is confirmed by a person — the agent gets it ready and stops.
FAQ
Will the client realise an agent is replying?
The reply goes out from your business number, in your tone and by your rules. We don't advise passing the agent off as a person: asked directly, it answers directly. In practice what annoys a client isn't a fast reply, it's two days without one.
Will the agent read all of my WhatsApp?
Only the chats on the business account you connect. Private conversations with family and friends aren't part of it, and you can change the list of chats at any point.
What if it can't make out a photo?
Then it files nothing on a hunch. It asks for another shot, and if that one gives nothing either, the document is set aside with a specific question. A document filed to the wrong place costs more later than a question asked in time.
Do I need WhatsApp Business to connect this?
Yes — this runs on a business account rather than your personal one: outside systems have no way in to a personal account, and that's WhatsApp's own boundary. After that the setup is a conversation.
